Once your assistant is created, you'll be taken to the configuration screen.

🏢 Business Information

Your assistant uses this data to personalise replies and understand your services.

Fill in the following fields:

  • Business Name
    Enter the name of your business (e.g. The Rustic Spoon, Serenity Spa).

  • About the Business
    A brief description of your concept, brand, or special features.
    (e.g. “A family-run bistro serving Mediterranean dishes with a modern twist.”)

  • Website URL
    If applicable, enter your business website (e.g. https://yourbusiness.com).

  • Main Contact Email
    Provide a primary email address where guests can reach you directly.

  • Business Type
    Describe your industry (e.g. Hotel, Restaurant, Spa, Gym). This helps tailor the assistant’s tone and content.

Changes auto-save when you finish editing. You can toggle Auto-save on/off or manually click Save at the top.

Add Your First Location

Enter location-specific details to help your assistant provide accurate, helpful responses.

Even if you operate from a single site, this step is essential for location-aware responses.

Click Add Your First Location or the Add Location button to open the form.

Location Details Form

Basic Info

  • Location Name – e.g. HeyGuest Hotel – London

  • Main Location – Toggle on if this is your primary location.

  • Address – Full address including street, city, state, and postcode.

  • Phone Number – Guest contact number (optional).

  • Email – Location-specific email (optional).

Opening Hours

Enter your open times for each day of the week. Leave blank or write "Closed" if not open.

Reservation Provider (Optional)

Select from supported booking platforms (if available).

Parking Information (Optional)

e.g. “Free parking available behind the building. Valet service after 6 PM.”

Accessibility Features (Optional)

Tick any that apply:

  • Wheelchair Access

  • Accessible Restrooms

  • Braille Signage

  • Hearing Loop System

  • Service Animal Friendly

  • Step-free Access

  • Accessible Parking

Special Features (Optional)

Highlight anything unique (e.g. rooftop seating, private rooms).

Food Service Times (Optional)

e.g.
Breakfast: 7:00 AM – 11:00 AM
Lunch: 12:00 PM – 3:00 PM
Dinner: 5:00 PM – 10:30 PM

Final Configuration: Services, Menus & FAQs

Refine your assistant’s knowledge to make it truly useful and guest-ready.

Once your business information and locations are added, the final stage is to help the assistant better represent your offerings by adding menus, services, and FAQs.

If you have a menu or pricing page, add a link here so the assistant can direct guests easily when asked about:

  • Menus

  • Costs or prices

  • Service options

To add:

  1. Click Add Menu/Pricing

  2. Enter a title (e.g. Dinner Menu, Spa Pricing) and a link to the relevant webpage or PDF.

You can add multiple entries if needed.

🧾 Services Offered

Briefly list the key services or products your business provides — this gives your assistant general context about what you do.

Examples:

  • Haircuts, Colouring, Blow Dry

  • Massages, Facials, Sauna Access

  • Lunch, Dinner, Takeaway, Private Dining

This list helps the assistant respond more naturally to general service-related questions.

❓ Frequently Asked Questions (FAQs)

This is the most powerful part of the assistant setup.
FAQs allow your AI Assistant to answer specific guest questions with accuracy and confidence.

How it works:

  • You don’t need to write questions exactly how a guest would ask them.

  • The assistant uses smart language understanding to match real guest enquiries to your FAQ entries.

Even if a guest asks:

  • “Are you hiring?”

  • “Any open roles?”

  • “How do I apply for a job?”

…the assistant will still match that to your Jobs FAQ.

To add an FAQ:

  1. Click Add FAQ

  2. Write a keyword, topic, or common phrase

  3. Provide the answer or link you’d like the assistant to share

You can add as many FAQs as needed to cover the types of enquiries you typically receive.
